Production Accountant

Our client, a global full-service, integrated creative agency, based in New York, which works with some of the most renowned fashion and lifestyle brands, is looking for an experienced Production Accountant to join their busy finance team.

Ideally, you will be a qualified Accountant with a minimum of 3 years’ previous experience with a history of managing budgets, ideally within Marketing / Media, with good team management experience.

Core Duties:

Accounts Receivable:

  • Manage the Accounts Receivable Function in its entirety
  • Manage and maintain budgets
  • Raise all sales invoices
  • Credit Control – Chase down debtors that go over 30 days old
  • Update sales day book monthly for month end close, ensuring fees are split correctly.
  • Review aged debtors on a monthly or bi-monthly basis with Financial Controller and follow up on any queries
  • Wrap all jobs, go through job card with  producers
  • Forecast for production/fees for Financial Controller as and when asked

Accounts Payable:

  • Manage Purchase Ledger function
  • Receive invoices from suppliers and staff and pass onto relevant producer/coordinator for checking and signing
  • Code invoices to relevant nominal ledgers/job numbers
  • Input all purchase invoices onto system and obtain statements from suppliers.
  • Copy all purchase invoices
  • File invoice copies into job folder
  • File invoice originals into payments folder
  • Input all purchase invoices into cash flow
  • Recharge where necessary to customers and intra/intercompanies
  • Run aged creditor report and send to Financial Controller and MD’s
  • Liaise with suppliers as and when necessary or required.
  • Create all new suppliers, ensuring that new supplier forms are accurately complete, and carrying out supplier maintenance as needed.
  • Reconcile company credit cards.
  • Log and check all staff expenses ensuring their validity and accuracy

WIP:

  • Send the weekly WIP report with comments on the status of each job and balance to the producers and Managing Director
  • Reconcile jobs with responsible producer/ coordinator
  • Open new job numbers and update job number list
  • Scan all back up for jobs
  • Close jobs when ready

Year End:

  • Provide year end forecast for job closures, accrued and deferred revenue.
  • Assist during the audit with audit queries

Other:

  • Update cash flow daily as needed and send to management
  • Once final cash flow sent, prepare the weekly payment run.
  • Reconcile bank accounts.
  • Manage all Petty cash ensuring that it is reconciled weekly

The role will require strong interpersonal and communication skills with the ability to deal with people at all levels internally and externally.

Skills:

  • Strong technical background
  • Strong analytical skill-set and detail orientated
  • Marketing/ Media experience would be highly advantageous
  • Excellent time-management skills with the ability to multi-task.
  • Intermediate Excel skills necessary
